Operations Analyst

Job description

We have a current opportunity for a Operations Analyst on a temporary basis until 31/03/24. The position will be based in Glasgow city centre with a hybrid working approach (2 days in office per week).

The successful candidate will have good IT skills and knowledge of Microsoft packages including SHAREPOINT and will offer team support to the busy department, a self-starter able to add value and organise themselves and the team they work with. Must be able to work well within a team and able to work on own initiative.

Responsibilities

  • Work with Coordination and Prioritisation teams to set up a process for knowledge sharing and management across the portfolio (strategy, governance, business operations and stakeholder), to facilitate efficient and coordinated delivery
  • Using available Microsoft software, set up and manage a user friendly 'self service' function - so that policy teams and leadership within the organisation can access up to date information easily and transparently. Org charts, reporting, agendas and other useful resources
  • Coordinating internal portfolio meetings, assisting in setting up agendas and pushing actions through.
  • Be a single point for contact with relevant functions within the wider organisation to understand policies, procedures and available services
  • Utilise the functionality of Microsoft software to increasingly automate and integrate processes, reporting, tools and information sharing across the portfolio
  • Upskill and share knowledge with others in the Coordination and Prioritisation portfolio in how to make the most of the IT tools available
  • Undertake a review of PCP sharepoint libraries and how they are used to ensure they are fit for purpose

Essential Skills:

  • Experience of utilising and integrating a range of Microsoft programmes to improve efficiency and coordination of business processes - including teams, MS planner, Power BI, Microsoft Forms
  • Able to work with multiple stakeholders or customers to understand their needs and develop a service product such as a webpage or report that delivers on those needs
  • Collaborate with colleagues and able to align work with wider organisational goals and ways of working
  • Able to collect and organise data and present it in a clear and insightful way
