Job description

We have a current opportunity for a Facilities Co-ordinator on a permanent basis. The position will be based in Manchester in the new C MA offices.

· Admin support and key relationship management with senior users & principal suppliers with focus on ensuring the CMA's FM service is uninterrupted and value for money is achieved.

· The coordinator will also support the day-to-day operation such as but not limited to, site inductions, creation of access passes, stationary ordering, DSE, overview reactive maintenance, audits, compliance, safe and fit for purpose, raise of Purchasing orders, invoices and all H&S matters including audits etc.

· Supporting the Facilities Manager with checking rooms and furniture to identify needs for repairs as well as consumables.

· Always provide a visible presence by ensuring the best quality of service and excellent customer service.

· Act as the escalation point for operational issues ensuring that the building (hard) and facilities (soft) services are maintained to the highest standards and meet the needs of the CMA staff and visitors.

· Accountable for ensuring that the CMA meets or exceeds minimum statutory and government standards including in health and safety, security, sustainability, and commercial awareness:

o ensuring appropriate policies and procedures are in place and audits carried out i.e., compliance with health and safety etc.

o enforcing compliance for all CMA Property and FM contractors,

o ensuring accurate records from all audits and compliance are maintained.

· To be an important part in a team for encouraging, recognising, and sharing innovative ideas from a diverse range of stakeholders.

· To provide support as necessary and when required travel to other regional offices working with the building management team to deliver the appropriate and required office facilities to the team based in this building.

· Collaborate closely with the Facilities Manager to maximise opportunities for the estate wide benefits in the delivery of Property and FM services, promoting consistency across the organisation.

· Work together with the Facilities Manager to ensure sufficient staff cover is available for all the CMA offices including the Devolved nations and support each other in any operational matters that are required.

PERSON SPECIFICATION

It is essential that you can provide evidence and examples for each of the following selection criteria in your application:

· Excellent knowledge and experience of the delivery of soft and hard FM services in a comparable environment.

· Significant experience of internal and external stakeholder management of all levels in FM service delivery, with the ability to influence and negotiate.

· Work effectively under pressure within a busy and diverse environment.

· Demonstrable people skills by using strong communication both oral and written;

· Beneficial to have experience in Facilities Management (or equivalent).
