Job description

Job Purpose

To provide support to the Property & Places Leadership team by providing executive level administrative support, coordinating meetings, gathering reports, supporting on projects, minute taking at Board/Senior meetings, organising monthly reports and chasing down actions from within the team and other stakeholders. Support with the upkeep of data/documents/compliance related administrative processes

Duties and Responsibilities

1.To ensure that information is stored securely and safely and that confidentiality is maintained at all time.

2.Assist Asset Data Officer, Head of Health & Safety with system compliance documents and dashboards

3.To be the initial point of contact for the Group Director Of Property & Places in his/her absence, assessing priorities and re-directing calls, enquiries and requests as necessary.

4.To undertake meeting arrangements and other tasks for the Leadership team

5.To support the P&P Leadership Team members ensuring their time is efficiently utilised and effectively organised with holidays and cover

6.To support the Leadership team with their Individual projects, supporting the creation of presentations and carrying out relevant research.

7.To coordinate events, activities and travel for the Leadership team as and when required

8.To submit timely receipts for purchases made on behalf of the Charity using the Web expenses or Core HR as appropriate.

9.To use Convene, the Association's Board & governance software to maintain records and documentation for Board/Senior meetings as and when required Executive and other lead officer meetings.

10.To compose, copy and edit as appropriate various emails, letters, documents and reports

11.To provide administrative support to the Leadership team in monitoring organisational projects and associated meetings
