Exams Manager

Minimum two months'

Clapham, London

£19.45 per hour minimum holiday pay

36 hours per week

Morgan Hunt are working with a Further Education client who are looking to recruit an Examinations Manager to join them on a temporary basis, for a minimum of two months.

Main Duties:

Some of your main duties will include:

  • To manage the operation of the Examination department in accordance with internal and external business requirements.
  • Lead and manage the Exam team setting high levels of professional customer service
  • Review, develop and document all processes and procedures across all Examinations related functions.
  • Effectively liaise with Awarding organisations
  • To be aware with changes to procedures and regulations of Awarding Organisations.
  • To deliver regular team and College exams related updates and ensure knowledge and skills are disseminated effectively.
  • Authorise orders and invoices, monitoring the Exams budget and late student fees.
  • To report monthly positions and forecasts to the Head of MIS.
  • Manage trained invigilator pool sourced internally where possible.
  • To ensure that examination registrations, entries, and results claims are submitted on time, accurately and in line with Awarding Organisation's guidelines and regulations
  • Provide oversight and co-ordination of the logistics for all external assessments.
  • Be fully compliant with JQC regulations as well as internal quality controls.
  • To drive the on-going review and development of related processes, procedures as well as effectiveness of reports.
  • Develop clear controls and reporting mechanism for results collection and processing.
  • Liaise with senior staff / teams to review and re-engineer processes and procedures to ensure they are fit for purpose, effective and efficient.
  • Prepare annual internal calendars for registration, entries, work submission and results deadlines to ensure all Awarding Body dates are met.
  • To ensure full compliance with Awarding Organisations registration and entry deadlines to effectively manage and reduce late fee penalties.
  • Work with the ILR & Data Coordinators to adhere to ILR validation rules.
  • Review with the Head of MIS and curriculum colleagues the existing exams reports and provide specification for new and useful developments.
  • Maintain audit trails and ensure full compliance with General Data Protection legislation.
  • Publish annual internal calendars for registration, entries, work submission and results deadlines
  • Ensure full Awarding Organisation's registration practices are published and adhered to
  • Provide regular Exams related information update briefings to colleagues.
  • Support the curriculum planning and fee setting processes, informing colleagues of examination related fee changes.
  • Work closely with the ILR and Data Cordinators to ensure results data capture meets the ILR requirements as well as full-year closure deadline.
  • Support staff training and development sessions and workshops.
  • To be responsible for the implementation of the College's Performance Development Review
  • Procedures, participating in the College's staff development and training schemes.
  • Identifying and providing training and development for staff to meet the requirements of their position.
  • Flexibility to work evenings and Saturdays at peak times to support examination and enrolment services.

Requirements:

  • Evidence of continuous professional development
  • Line management and staff trainig background
  • Prior knowledge of managing complex exams process within large Further Education establishments
  • Ability to lead change and champion the service whilst meeting challenging targets.
  • Effectively manage and support staff in the delivery of operational services.
  • Ability to use various methods for reporting
  • Knowledge of JQC rules and regulations
  • Solve problems quickly and efficiently
  • Good communication skills orally and in writing
  • Ability to write extended reports for senior managers
  • Good administrative and numeracy skills, including proven ability to work accurately to meet deadlines and targets under press
  • Ability to plan strategically and manage projects.
  • Ability to build positive working relationships with external agencies, maintaining customer focus.
  • Highly organised
