Fixed-Term Contract

£27,000 minimum

09:00am-17:00pm (flexibility is required)

Morgan Hunt are working with an Education training provider who are currently recruiting for a Project Administration Manager to join their growing team on a fixed-term basis. The role will be based fully on site with potential to work from home in the future.

Main Duties:

Some of your main duties as Project Administration Manager will include:

  • Manage the processing of learner paperwork against ESFA, ESF, Local Authorities and the organisation requirements
  • Assist with recruitment, IAG, enrolment and inductions of learner
  • Train, support and develop the capacity of admin staff to deliver excellent administrative provision for contracts.
  • Utilise company's database and Management Information Systems (MIS) other supporting system and maintaining files to an audit-able standard
  • Manage the process of registering learners and claiming certificates with various Awarding Organisations
  • Work in an organised manner ensuring accurate records of employer and learner details
  • Communicate information in the most appropriate and required formats
  • Provide accurate KPI information to Senior Management Team
  • Manage the ordering and processing of resources to enable effective and efficient delivery to our clients
  • Liaise with the Projects Team, Teaching and learning Team, Quality and Audit Team in the development of the audit trail, as well as compilation of claim
  • Provide project effective administration support to the Head of Quality to support the efficient management of the project
  • Answer routine enquires from staff, members of the public, awarding body through telephone, face to face and meetings.
  • Supervise the processing of learner's administration paperwork on a day-to-day basis ensuring all contract requirements are considered when prioritising workloads
  • Manage the team of administrators responsible for keying data to PICS ensuring this is completed efficiently and accurately.
  • Supervise audit compliance procedures and monitor performance to ensure error rates are managed.
  • Ensure that compliance queries from partners are responded to and resolved swiftly to maintain an effective working relationship.
  • Manage administration queries between the administration team and tutors to ensure these are positively resolved.
  • Liaise with Curriculum Leads, Data Team and the Head of Curriculum and Operations Director where issues cannot be resolved.
  • Utilise the existing MIS (PICS) and other ICT-based systems to develop and enhance practices and processes
  • To plan and manage audit checks of data to ensure validity and quality by using data checking software, e.g. FIS/DSAT/PICs, and other propriety applications and to develop bespoke checking systems where necessary.
  • Regularly produce KPI reports as requested by the Senior Management Team to enable performance against contracts to be managed
  • Support with the development and delivery of internal staff training. Assist in the sourcing of external training where this is required
  • Ensure that administration processes are sufficient to meet the requirements of all contracts, communicating with the Head of Quality on areas where improvements could be made
  • Liaise with the exams officer to ensure that all learners are registered with the appropriate awarding body within the given
  • Ensure accurate records of registration and certification claims are maintained.
  • Manage incoming and outgoing post to ensure that accurate records are maintained, and any time constraints are met
  • Conduct regular one-to-one support meetings with the administration team and manage their performance against their individual job descriptions
  • Manage the development and review of company policies and procedures that relate to administration processes
  • Act as an ambassador for the organisation at all times, and provide a positive and professional image of the role and organisation
  • Keep accurate records of continuous professional development and ensure staff competencies meet the requirements of their role
  • To attend training and continuous professional development events and be responsible for their own professional updating, as necessary
  • Contribute to the attainment of the Organisation Vision and Values.
  • Comply with all organisation policies, practices and procedures.
  • Take responsibility for safeguarding and promoting the welfare of young, vulnerable people


  • Proven and demonstrable commitment to the principles and practice of equal opportunities in employment.
  • Working knowledge of H&S legislation and employment law
  • Knowledge of ESFA, ESF, LA Funding rules and audit requirements
  • Working knowledge of PICS/FIS/DSAT or an equivalent ICT based MIS system
  • Proven ability to plan and meet time, cost and quality targets
  • Ability to accurately monitor and maintain records
  • Competent in use of Microsoft Word and Excel
  • Managing the administration of funded learning provision in the work-based learning sector
  • Working knowledge of the requirements of external quality audits including Ofsted and awarding bodies
  • Confident when dealing with conflict and conflict resolution
  • Flexible style with a willingness to learn
  • Able to plan, prioritise and implement own workload
