Senior Teaching and Learning Administrator

3 month contract

London

£19.32 per hour holiday pay

Full time - 36.5 hours per week

Morgan Hunt are currently working with a University who are recruiting for a Senior Teaching and Learning Administrator to join the Institute of Opthalmology on a full time, temporary basis for a minimum of three months.

Some of the main duties you will be expected to carry out in your post of Senior Teaching and Learning Administrator are:

  • Register new students as and when required and supporting with other admin tasks and coordinating them in a timely manner
  • Work closely with the Education Manager and Programme Director to assist with setting up induction week(s) / events.
  • Work with the Programme Director to create and manage the timescale of all taught courses, this will also include managing of room bookings and liaising with other members of staff when required
  • Coordinate course / teaching materials such as course outlines, study packs, assignments in paper / electric format et to assist the department
  • Allocating students to courses / programmes / tutorials / projects / placements etc in accordance with their timetable structure and upload all information to the system
  • Update and brief staff on all application procedures, legislation's etc
  • Liaise with other members of staff across the University where and when necessary
  • To take responsibility for uploading and maintaining the course / programme content on the relevant system
  • Act as the first point of contact and assist students with any queries
  • Work with the Programme Director and Education Marketing Manager to ensure that the entries in the Universities prospectus, advertising materials, handbooks and web pages relating to all taught courses / programmes are correct and are kept up to date
  • Produce and maintain the student handbook and other relevant course resources / materials
  • Keep on top of attendance as appropriate and distribute the registers to teaching staff
  • Review systems in place and take initiative to change where necessary
  • Be the link between students, tutors, and supervisors
  • Create and maintain student files both electronically and on paper
  • Process all course changes such as course withdrawals
  • Manage all student records and systems including monitoring and recording any absences
  • Manage student evaluation questionnaire
  • Liaise with the appropriate team to verify and correct student records
  • Advise students on University scheduling and organise the department nominations for scholarships (both internal and external)
  • Liaise with the disability service to ensure that students with disabilities have the appropriate provisions in place
  • Advise and guide interested students on activities such as the Year Abroad Scheme and coordinate the translation of marks when they return.
  • Collating alumni information, including job destination
  • Support on exam related tasks including processing of final marks, coordinate and produce mark sheets for exams, undertake arrangements for the Board of examiners where required
  • Track, collate and coordinate all examination questions and solutions, formatting examination papers as necessary
  • Service exam boards, including room and catering bookings, agenda setting and minute taking
  • Collate and accurately record coursework marks during the academic session
  • Monitor student progress during the year and organise re-distribution once marked
  • Produce and maintain paperwork for extenuating circumstances meetings, including medical and other documentation as necessary
  • Produce result reports for all courses / programmes and modules, this is to inform committees, funding bodies, external audits and for the Universities departmental planning purposes
  • Service relevant committees such as Departmental Teaching, Recruitment, Exam Boards, and Staff Student Consultative committee by gathering agendas, distributing paperwork, contributing when necessary, taking and circulating minutes and ensuring actions are followed through
  • Keep up to date with course and committee developments and attend and participate in meetings
  • Maintain a list of student and staff contacts
  • Make arrangements for workshops, meetings and other events
  • Assist the Education Manager with correspondence, diary management and enquires
  • Respond to requests made under the Data Protection Act and FOI Act when required
  • Work closely with course directors to review administrative systems which support the learning and teaching activities
  • Carry out programme related finance admin such as purchase orders
  • Attend student, departmental and other promotional events
  • Attend role related meetings, briefings, workshops, training's, exhibitions and conferences
  • Provide cover for other colleagues when needed
  • Carry out any other duties as part of your role

Requirements:

  • Experience of Postgraduate Taught Course/Programme administration.
  • Higher Education background is essential for this role
  • Have worked in a busy office environment within a previous role
  • Excellent administration and organisational skills
  • Flexible approach to work
  • Able to work independent and manage priorities
  • Able to design, develop, maintain, review and improve administrative, management processes and information systems
  • Working knowledge of servicing committees and able to accurately minute take
  • Knowledge of issues relating to Higher Education administration
  • Working knowledge of budgeting and able to carry out finance administration tasks
  • Highly organised
  • Excellent IT skills
  • Knowledge of Virtual Learning experience software such as Moodle
  • Able to keep accurate and up to date records
  • Assessing situations and take appropriate action when required
  • Excellent verbal and written communication skills
  • A methodical and accurate approach to work with high attention to detail
  • Maintain confidentiality at all times
  • Able to communicate and collaborate effectively and sensitively with students
  • Knowledge and use of financial records systems such as MyFinance (Desirable)
