Job description

Morgan Hunt are working with Barnet & Southgate College to recruit an experienced Receptionist/Adminsitrator to help them out during one of their busiest periods. The selected candidate will work in this thriving Further Education and Training College, based in North London, to help welcome and assist guests whilst carrying out crucial administrative tasks.

Main Duties as an Administrator

  1. To work in an environment where they will be in contact with students attending the Centre who present challenging emotions and behaviours.
  2. To be of professional appearance, behaviour and attitude and deliver a high-quality service in a customer focused way at all times with organisational reputation a priority.
  3. To be a professional, friendly and helpful first point of contact at the Centre and deal with clients quickly and efficiently in a customer-focused way.
  4. To welcome and ascertain the status of visitors for entry and to issue passes accordingly.
  5. To provide an effective information service to all clients on request.
  6. To maintain an efficient, well organised, tidy reception area and report any health and safety hazards.
  7. Under the direction of the Senior Administrator, provide dedicated administrative support to the Academic Head, Curriculum Managers, teaching staff and learners within the curriculum area.
  8. Record register marks where necessary.
  9. Send out termly parent reports.
  10. Act as first point of contact for learner absence and report to the relevant teaching staff of the learner absence.
  11. Run monthly missing week registers mark reports to inform tutors and Curriculum Managers highlighting register marks missing for them to input.
  12. Act as first point of contact for all learner enquiries for the curriculum area and ensure all correspondence in relation to learner enquiries are dealt with appropriately and in a timely manner.
  13. Ensure learners contact details are up to date on college system.
  14. Deal with any curriculum area queries regarding timetables, liaise with the Senior Administrator on inputting any associated amendments required.
  15. Attend curriculum area meetings and provide administrative help in the co-ordination of, and minute taking at, these meetings.
  16. Maintain effective and secure electronic and manual filing and retrieval systems in accordance with Data Protection requirements, which enable accurate and up to date information to be accessed quickly and easily.
  17. Under the direction of Senior Administrator, assist in departmental ordering and maintain spreadsheets in accordance with the College's Financial Regulations.

Essential Criteria

  • Qualification to L2 or above
  • DBS registered with the update service
  • Experience of working in an office environment within an administrative role
  • Experience of working in an FE college or education would be beneficial
  • Experience of using Management Information Systems to monitor, track and report on data
  • Good level of IT skills
  • Ability to provide courteous and effective customer service
  • Ability to interpret numerical and statistical information
  • Attention to detail and accuracy
  • Be well organised and systematic in approach to administrative functions
  • Take the initiative and a solution orientated approach when resolving queries and problems
  • Ability to work effectively as a member of a team and on own as required
  • Ability to manage and prioritise own workload to ensure deadlines are met
  • To possess understanding for the need for confidentiality, and awareness of the range of problems and issues likely to be encountered in relation to the role
  • Emotional robustness to work in an environment that includes challenging students
