Key responsibilities

As a receptionist, your responsibilities will include:

• To assist learners, staff and external stakeholders requiring information, advice or support.
• Assist with the maintenance of notice boards, update timetables / rotas, sort and distribute mail.
• Provide general confidential administrative assistance i.e., photocopying, filling, data entry, minute taking etc.
• Offer helpful, friendly, approachable and professional service always and take appropriate action on own initiative, resolving minor matters, referring more serious matters to appropriate member of staff.
• To ensure all visitors are greeted, signed in, issued a visitors badge and dealt with by an appropriate member of staff in a professional manner.
• To ensure that levels of security are maintained, thus not compromising users' safety and ensuring the safeguarding of staff and learners.
• To sort and distribute incoming post, faxes, emails and arrange for outgoing post (including special items) to be weighed, franked and taken for posting with minimum delay including internal post between sites.
• To ensure that all telephone and personal enquiries are recorded properly and answered pleasantly and efficiently.
• To study all notifications regarding courses, enrolment details or learner eligibility requirements and ensure that accurate and up-to-date information is supplied to enquirers.
• To support enrolment activities as required.
• To maintain and distribute supplies of standard stationery items and the current versions of administrative forms and information held in reception.

Skills & experience

• Minimum Level 2 or equivalent in English and Maths
• Previous reception/administration experience or equivalent
• Understanding of professional customer care requirements.
• Ability to respond helpfully and efficiently to a wide range of telephone or personal inquiries.
• Good standard of written work to produce accurate and clear documents or messages.
• Ability to read, absorb and apply new information and explain details to clients or staff.
• Ability to carry out instructions with minimum supervision.
• Working knowledge of Microsoft Office (Word, Excel, Outlook, Access) or equivalent.
• Understanding of record-keeping using database methods.
• Good organisational skills with attention to detail.
• Ability for problem-solving and prioritising tasks to meet deadlines efficiently.
• Right to Work & Enhanced Adult/Child DBS dated within the last 3 months or on the update service
