Morgan Hunt require an Director's Business Manager & Corporate Secretary for NHS based in South East London

Pay Rate: £25ph to £28ph Ltd

Hours 37.5 9am to 5pm Mon to Fri

Location: South East London

Duration: 3 months on going contract

  1. Job Summary

Accountable to the Chief of Staff and working in direct support of the Director, the post holder is a key member of the team supporting the senior leadership of the Clinical Group, and holds specific important responsibilities across the Clinical Group, ensuring its effective operation as part of NHS Trust and the wider health system. The main areas of responsibility are:

  • To provide comprehensive executive assistant support to the Director across her portfolio, representing her views to appropriate internal and external stakeholders, undertaking actions on her behalf, overseeing the management of her diaries and preparing, commissioning and quality assuring briefing material.

  • To undertake corporate secretary duties, ensuring that appropriate arrangements are made so the Clinical Group Board and Executive Committees and subcommittees function effectively, and that the Clinical Group complies with Trust and regulatory requirements.

  • To undertake a wide range of business management duties to support the Director and her immediate team, including the management of office accommodation, and budgetary management.

  • To lead and manage a small administrative team supporting Clinical Group senior leadership, managing staff in accordance with Trust policies.

  1. Duties and Responsibilities

Executive Assistant to the Director

  • Provide Executive Assistant support to the Director and Chief of Staff, dealing with matters where there is a high degree of complexity.
  • Manage incoming and outgoing correspondence on behalf of the Director, selecting and responding to mail/emails that does not require the Director's attention, ensuring actions are taken and tasks completed.
  • Prepare acknowledgement letters and responses to complimentary letters and emails, including replies under own signature.
  • Oversee the management of the Director's complex diary, ensuring that meetings are organised internally and externally in accordance with known priorities and agreements. Includes resolving complex and conflicting commitments requiring Ensure appropriate representation when the Director cannot attend meetings.

Corporate Secretary

  • Work to harmonise the Executive agenda with the Board agenda and other relevant Board committees.
  • Act as Secretary to the London Board, ensuring that all papers comply with Trust standards and that committee members and their deputies comply with their responsibilities and actions as necessary.
  • Maintain and develop forward plans for the London Board, Evelina Executive and Strategy & Partnerships Group, ensuring that papers are commissioned and produced in timely fashion.
  • Monitor and ensure compliance with Trust policies and procedures, and with relevant regulatory requirements, advising the senior leadership team of any gaps in assurance and working with colleagues to develop action plans where required.
  • Co-ordinate London's contribution to any Trust-wide discussions with regulatory authorities, as appropriate, supporting the Chief of Staff.
