Job description

Morgan Hunt are delighted to be working with East Sussex College Group to help employ an experienced Sales Ledger Assistant on a full-time temporary basis starting ASAP, please see the Job Description.

KEY ACCOUNTABILITIES

  • Manage and maintain the sales ledger and to establish procedures which ensure that timely payments are received from debtors.
  • Chase debtors for outstanding payments to ensure that all payments are received within the agreed credit terms and to keep aged debtors to a minimum.
  • Process daily invoices and credit notes including ad-hoc manual invoices as requested. To liaise with staff across the College to ensure all income is invoiced in an accurate and timely manner.
  • Identify errors which have resulted in a need for a refund and process these in a timely manner following the College's refund policy.
  • Process and monitor Direct Debit payments and other instalment plans to ensure debtors have access to a variety of methods of payment and that payments are received on time and in full.
  • Process card payments in the online virtual terminal.
  • Process daily downloads from Prosolutions ensuring the accuracy of the data and to resolve any consequent queries.
  • Reconcile daily student receipts & invoicing.
  • Assist with receipt of enrolment and examination fees to enable smooth processes for learners and staff.
  • Create new sales ledger accounts as required.
  • Provide monthly management information to include Bad Debt reports, sales ledger reports, and fees analysis to enable analysis and review.
  • Provide information as requested for internal and external auditors and to resolve issues and implement changes which might be advised or required by the auditors to ensure that an effective service for the College complies with statutory requirements.
  • Develop systems for continuous improvement for the sales ledger.
  • Review income sheets from outlets, making sure that supporting documentation is correctly provided, investigating any errors and post journals to the ledger.
  • Processes and ensure that regular service level agreements are met.
  • Process hospitality recharge forms, ensuring they are correctly coded and authorised in line with financial regulations.
  • Post the daily bank transactions and investigate any queries.
  • Preparation of banking (cash and cheques) ready for cash in transit provider to collect weekly.
  • To assist the Purchase Ledger Team on administering petty cash and pre-paid cards on your allocated banking days.
  • Set-up Trips on the Wisepay portal in line with College's policy, download Wisepay daily transactions for the curriculum areas, and process any credit card and bursary payments on the Wisepay portal.
  • Monitor and action emails received in the sales ledger inbox.
