Business Support Administrator

4 month FTC - possibility to extend

£26,000 pro rata

Mix of home and office based

Central London ( Tottenham Court Road)

I have a really exciting role to work as a Business Support Administrator to with a very well-known Housing Association based in Central London. This role is paying £26,000 pro rata and will be a 4 month FTC. This will be a mix of home and office based working. Officer are by Tottenham Court Road.

The post holders main responsibility's would be to provide administrative support to the operational and commercial teams of the organisation.

Duties

  • Providing general administration support to the Operations team.
  • Invoice processing - loading invoices to the system and sending to the relevant person for authorisation.
  • Updating and maintaining systems including Microsoft Dynamics and the KWEST portal for satisfaction surveys.
  • Maintaining data sheets per commercial property and base data / lease event spreadsheet
  • Tracking commitments against budgets, reconciling invoices to commitments, raising queries
  • Completion of data schedules for rent demand, income receipt and compliance
  • Sending out invoice demands to tenants on a quarterly basis and recharge invoices for services / works completed on the tenant's behalf.
  • Updating action tracker from team meetings
  • Maintaining lease and tracking data for rent and associated costs per property
  • Monitoring monthly fee and works invoices from the Managing Agents against agreed rates and budgets. Facilitating internal approvals before commitment for new lettings and costs over £500
  • Investigating queries relating to rent and maintenance costs. Maintaining activity tracker for live issues
  • Ensuring that the appropriate EICR, Gas Safety and PAT testing certificate are provided by the Managing Agents for Housing to apply to Dynamics
  • Tracking of commitments and spend for projects and feasibility studies, against budget and approvals
  • Activity tracker on any live issues

Requirements

  • Experience working in a supportive role within a Housing Association before
  • Previous experience of working within Lettings / Renting / Voids
  • Knowledge and understanding of Housing Management Systems
  • Excellent computer skills including Microsoft Word, Excel and emails
  • Experience of running administrative systems and procedures
  • Experience of operating efficient office systems
