Business Administrator

£35000 - £39001 per annum

Job description

We have a current opportunity for a Business Administrator on a fixed term contract with a Higher Education client based in Edinburgh. The hours will be full time (Mon-Fri).

Some responsibilities are as follows:

  • Acting as the main contact for the ISG Directorates on Administrative, Finance, HR, Facilities, and Operational Matters. Providing the first point of contact for a range of legislative/compliance issues; signposting, providing advice, information, and support, escalating issues and problem solving.
  • Support Directors with the annual planning round and longer term strategy development. Liaison between Directorates and ISG Finance to undertake workforce planning exercises to ensure adequate resourcing.
  • Responsibility for collating the output data from the quality enhancement activities for ISG Directorates; providing an analysis of the data for decision making purposes; and providing reports on IS Plan related KPIs/measures of success for the Directors and Head of IS Planning. Producing a range of reports e.g. monthly reports, usage statistics, data for Annual Reports.
  • Line manager of a number of staff within the Business Administration Team who have responsibility for a range of administrative duties. The post holder will be involved in the training and development of the Business Administration Team, helping to ensure efficient processes are in place for the Business Administration Team, and helping the Team progress through the various changes to software platforms and work flows as a result of the Service Excellence Programme and any future improvements.
  • Dealing with many of the shorter term operational matters, on behalf of the Directors, to enable them to focus on higher level operational, strategic and planning issues.

This role provides management support for the Information Services Group (ISG) Directorates. The current 9 directorates employ approximately 800 staff, with approximately 20 of those staff members aligned to the Business Administration Team. The post holder will be responsible for line management duties under a matrix management system.

The post holder will be required to work closely with the Deputy Head of IS Planning & Administration, Head of Knowledge Management and IS Planning, IS Head of Finance, IS Finance Management Accountant and IS Finance Team, IS Facilities Manager and IS Facilities Teams, HR Business Partner for IS and HR ISG Operations Team, as well as senior managers and Directors in the Directorates in determining the operational requirements of ISG.

The post holder has delegated responsibility for assisting in monitoring and reporting on the directorate budget.
