Morgan Hunt is delighted to be partnering with a Third Sector organisation in Edinburgh in their search for an Facilities Co-ordinator, reporting into The Head of FM.

Job Role:

To ensure the smooth operation of the facilities function across the portfolio. Working with the Operations Managers, responsible for best value procurement and ensuring services are well coordinated, are provided to agreed service levels and are delivered within budget.

In addition, you will provide effective site management of office sites ensuring the needs of staff are understood and that offices are high functioning, flexible spaces that promote creativity.

Duties & Responsibilities: ( include but not limited to )

  • Assist in the planning of all contractor work on sites including contributing to the risk assessment process, developing method statements, etc. and ensuring all work is carried out in a safe manner and in line with budget costs.
  • Ensures all supplier and contractor risk assessments and method statements are current and maintained on file along with insurance/liability checks.
  • Ensures accidents/incidents are properly recorded and that appropriate authorities are advised as appropriate.
  • Monitor the implementation of the annual Planned Preventative Maintenance schedule including the organisation of external contractors to carry out risk assessments/audits and ensuring all actions identified in reports are closed out.
  • Procurement, contract review and performance management of service level agreements across property portfolio
  • Effective contractor and supplier management which forms part of our Quality Management procedures;
  • Facilities Management Budget Management and Multi-Year Investment Planning
  • Co-ordination and reporting of facilities management activities internally and externally.
  • Responsible for support to site management of offices and delivery of office services therein.
  • Directly contribute to legislative and legal compliance monitoring across the property portfolio.
  • Undertake reviews of all service contracts to ensure best quality value, that services are being provided in accordance with contractual agreements and that contractual compliance is maintained. Identify opportunities to improve service levels.
