Events Co-ordinator

Job description

We have a current opportunity for a Events Co-ordinator on a temporary basis with a Higher Education client for 12 weeks initially. The position will be based in Glasgow with a hybrid working model and the hours of work are 35 hours per week (Mon-Fri).

Responsibilities include

• Provide specialist knowledge in event management expertise within the College with the Doctoral Training Hub and Graduate School, providing advice and support to other departments in the planning of events as required.

• Responsible for organisation and operational delivery of events Including technical, venue, catering, and risk assessment requirements, liaising with various University departments and external suppliers, through to feedback and follow up.
• Responsible for maintaining up to date attendee and event information, in line with GDPR compliance Maintaining high-quality event management information including, but not limited to, updating participant information, compiling guest lists, producing table plans, name badges and registration lists.
• Responsible for production of event proposals, delivery plans, briefing notes and post event evaluation reports for all managed events. Produce summary reports for each event including event budgeting, attendance records and other information relating to event objectives, actively recommending, and implementing agreed improvements if required.

Person Spec

• Significant previous experience of event management from planning through to operational delivery ideally in a Higher education setting
• Experience of organising high-profile events for more than 250 attendees.
• Experience of negotiating contracts with external suppliers
• Ability to work under pressure, sticking to strict deadlines and juggling multiple priorities.
• Experience of working independently and resolving unforeseen issues and challenges.
