Job description

We have a current opportunity for a Project Officer on a 4 month temporary basis with a Higher Education client- the role can be fully remote if required. The salary is £38'609 and the hours are Mon-Fri, 9-5.

The University wishes to appoint a project officer to plan, coordinate and deliver key aspects of the work of the Global Engagement Department. The position offers an exciting opportunity for an energetic and enthusiastic individual who will relish the professional and dynamic environment of working within our varied and busy international operation.

The responsibilities of the Project Officer fall into the following four broad areas:

  • To develop and implement systems, protocols and procedure to ensure the efficiency and effectiveness of the Global Engagement office.
  • To proactively plan, organise and deliver activities and projects related to international initiative
  • To work closely with the Director, senior leads within the Global Engagement Department and the Project Manager in the coordination of activities and meetings (including follow-up action arising from meetings).
  • To assist the Project Manager in researching and developing reports.

The appointee to this position will be an accomplished professional administrator with a substantial experience and a track record of success.

KEY RESPONSIBILITIES/DUTIES

  1. The development and implementation of systems, protocols and procedures.
  • To take responsible for the development and implementation of all office systems, process and procedures for Global Engagement Office.
  • To take responsibility for all office equipment including IT, furniture and fittings.
  • To support the Project Manager in the management of the Office budget.
  • To develop appropriate databases and systems to support the work of the Global Engagement Office.

  1. Proactively planning, organising and delivering activities related to International initiatives.
  • To proactively prepare and plan across all phases of the project lifecycle. This will involve both short-term and long-range planning. This will include the coordination of the activities of a range of participants and stake-holders (both internal and external).
  • To prepare a range of papers, reports, letter and spreadsheets, databases. Please note that this is not a secretarial role. The postholder will make an active contribution to the writing of papers, reports and letters.
  • To service relevant committees and working groups. This may include making an active contribution to policies and procedures.
  • To write accurate minutes as required.

  1. To work closely with the Director, senior leads within the Global Engagement Department and Project Manager in the coordination of activities and meetings.
  • To work with the Project Manager to provide a key liaison role between the Project Manager, Senior Leads, Director, and other senior officers. This will involve developing effective working relationships with senior officers across the University.
  • To take responsibility for necessary follow-up action arising from meetings attended by the Project Manager. This will involve working closely with senior managers across the University to ensure that appropriate and timely action is taken.

  1. To assist the Project Manager in researching and developing reports.
  • To work closely with the Project Manager to ensure that the agreed project management framework and processes are maintained throughout the project lifecycle and support the delivery and tracking of reporting across all project phases
  • To develop options and proposals in regard to research and analysis conducted.
  • To provide advice to the project team in regard to any such research.
