Full time Role - PA to Principleship Team

1 year Fixed Tern Contract

£23.142 P/A

Summary of main purpose of role:

To provide high level, confidential, effective, continuous and flexible support to the Principalship Team.


Key Responsibilities:

  • Provide high level, confidential secretarial and administrative support to the designated Principalship Team and to provide administrative support to members of the Senior Management Team
  • In the absence of the Principals PA to provide cover to ensure a continuous and flexible service
  • Assist in developing positive relationships with key external stakeholders and organisations and to liaise effectively with NCG
  • Facilitate and track the Principalship's requests for information and where appropriate collate and present information
  • Collate and prepare reports, spreadsheets, presentations and other materials to support the Principalship Team and therefore assisting the Principalship in monitoring deadlines for submission of key reports
  • Provide a first contact point for internal and external enquiries for the Principalship Team
  • Screen and respond to routine callers. Manage unannounced / unscheduled visitors and, where appropriate, redirect to the relevant college manager
  • To direct complaints addressed to the Principalship in line with the College Complaints Procedure, drafting responses on behalf of the Principalship Team where appropriate
  • Deal with and prioritise correspondence. Draft responses or re-direct where appropriate to ensure timely responses to external and internal contacts
  • Assist the Principalship Administration Team in monitoring financial expenditure including raising purchase requisitions as required, dealing with invoice queries, identifying and resolving issues
  • Manage and maintain diaries of meetings and commitments minimising travel time and maximising work time for the Principalship Team
  • Prepare necessary documents in advance of scheduled meetings
  • Make appropriate travel and accommodation arrangements
  • Arrange meetings / events, ensuring adequate facilities are available for all internal and external meetings
  • Provide secretarial support to meetings as requested including the preparation of agendas, collation of papers, minute taking and follow up of action points
  • Working alongside the Principalship Administration Team, to ensure the Principalship Office provides first class customer service to all users and particularly in relation to the administration of the Principalship meeting rooms.
  • Ensure the provision and timely maintenance of information storage and retrieval systems, both electronic and paper based, having particular regard to confidentiality
