Part-Time Administrator

£22500 - £25000 per annum

Job description

We have a current opportunity for a Part-Time Administrator on a temporary basis with the opportunity to go permanent. The position will be based in Dundee and will be 2 days per week (room for some negotiation on which days).

Responsibilities include:

  • Assisting in day-to-day administrative tasks, responding to internal and external email enquiries from shared inboxes, scheduling meetings, and managing calendars.
  • Creating, updating, and maintaining documents, reports, spreadsheets, and databases. Ensuring accurate record-keeping and file management systems are in place.
  • Drafting and proofreading business correspondence, memos, and presentations. Coordinating internal and external communications, including preparing and distributing newsletters, social media posts and announcements.
  • Supporting the scheduling and organisation of meetings, conferences, and events. Preparing meeting agendas, room bookings, taking minutes, and distributing relevant materials.
  • Supporting general office operations and purchases, including maintaining office supplies, processing invoices and purchase orders, managing IT equipment, and coordinating repairs and maintenance.

Criteria:

  • Previous work experience in an administrative role.
  • Confident and highly competent with IT practises, including strong knowledge and experience across the Microsoft 365 suite (Word, Excel, Outlook, Teams, SharePoint, PowerPoint) and Adobe.
  • Ability to work flexibly across a range of teams.
  • Ability to learn and use new IT software/databases efficiently.
  • Strong interpersonal skills with the ability to engage and interact confidently both internally and externally.
  • Excellent organisational and time management skills demonstrating the ability to plan and prioritise.
  • Excellent verbal and writing skills, with a good working proficiency in the English language.
  • Courteous, conscientious, and professional attitude.
