Scope of the role
The Catering Admin Support Officer role will play a key role in supporting the Catering Team Performance and administration in the implementation and management of the Catering service delivery model.
The candidate will be responsible for supporting, collating and analysing performance information to feed into reports for the Trust Board, and Directorate Performance meetings. The role will provide support for the Catering department management in ensuring all reports and papers are co-ordinated within the necessary timescales, action notes captured and updated and work with teams in preparation for the meetings.
The candidate will be a key member of the Catering Service team and has responsibility for the day- to-day administration, maintenance, keeping of information and records that allow the catering service to operate. They will work closely with the Trust Finance team in the overall administration and control of the catering department budget. The candidate will be responsible for the management of the food ordering and procurement process and integration with the Dietetics team and external suppliers. Other stakeholders will need strong relationships to provide the Catering operational integration required. They need to communicate with, and develop and maintain constructive relationships with, Facilities managers, Clinical teams, IPP and other external customers and external suppliers.
Responsible for the day to day operational administration duties for the Catering Team. This role is key to assisting the management of profitability and revenues of the Catering operation onsite.
The candidate will be responsible with the finance team for the production of detailed financial reports for the site catering operations including invoices management, and stock reconciliation.
Duties include:
To support the E&F Directorate in helping to produce complex and detailed information for internal and external reporting, ensuring that the data is of a high quality, consistent and accurate and that deadlines are adhered to.
Responsible for producing information to support the Directorate performance processes, keeping a library of the reports and outcomes and establish action logs for areas discussed during the reviews.
Undertake analysis of performance information, in collaboration with the Business Performance Manager. Discuss and agree what is required, including delivery timescales. Use data query tools and spread sheets to extract and manipulate the data to populate performance reports
Working with the Business Performance Manager contribute to the design and development of corporate report
Prepare and present statistical complex information and report on the results using various forms e.g. graphically, verbally to all levels of staff within the Trust.
Ensure that the Catering Management System is 'live' at all times. Ensure that the Catering Management System is correctly managed by others that have access and control access
Management and administration of Trust Polices & procedures Ensure Sickness and Annual Leave is recorded onto the trust systems. STS Food/Safety System is updated and that management audits are being down and recorded.
Ensuring all staffs training records are complete and up to date. All training is correctly recorded, and information filed.
Management of cash receipting - ie reconciliation - of cash and cashless payments is documented and all process are followed and audited.
Assist the Head of Catering with any other Administrative duties needed for the smooth running of the service
